Are you an experienced Executive Assistant looking for an exciting opportunity in a dynamic and growing industry? We are seeking a highly organized and proactive EA to join a leading aged care client based in the heart of Sydney's CBD.

Key Responsibilities:

  • Customer Service: Provide high-level service to stakeholders, screen CEO calls, and respond to emails/phone inquiries. Provide backup support to the Customer Service Officer as needed.
  • Diary & Meeting Coordination: Schedule meetings, arrange meeting rooms, catering, and take minutes. Notify participants of schedule changes.
  • Travel & Accommodation: Book travel and accommodation for staff, manage corporate event logistics, and coordinate dietary requirements.
  • Fleet Management: Oversee vehicle renewals, manage new vehicle arrangements, branding, and sales to staff. Handle toll accounts and corporate car spaces.
  • Benevolence & Annuities: Process Benevolence and Annuity requests, maintain donor databases, and handle communications and receipts.
  • Ad-Hoc: Purchase gifts, reconcile CEO’s credit card, manage petty cash, and maintain security card register.
About the Role: This is a full-time, permanent position working Monday to Friday at the head office. You will be based in Sydney CBD, supporting the leadership team in a corporate setting. While the company operates in the aged care sector, your role will focus purely on administrative and executive support

What We’re Looking For:
  • Proven experience as an Executive Assistant or in a similar administrative support role with ideally 4-5 years experience. 
  • Strong organizational and multitasking skills, with an ability to prioritize effectively
  • Excellent communication and interpersonal skills
  • High attention to detail and discretion with confidential information
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • A proactive, positive attitude with the ability to work independently and as part of a team
